Privacy Policy

Effective date: 21 August 2026 · Current scope: public website and device-only Move Preview

1. Information processed in this pilot

The current Move Preview stores situation selections, completed task identifiers, personal target dates and interface preferences in the visitor’s browser. External registration and new cloud synchronisation are not available. Previous verified pilot accounts may retain a Firebase authentication record and synchronised situation answers, completed task identifiers, personal target dates, account email and last-update time until deletion is requested or the records are otherwise lawfully removed. SettlePL does not ask users to enter names, postal addresses, passport or visa numbers, medical information, immigration-document copies or payment-card details in the Move Preview.

2. Why information is used

Device-only information is used to provide the Move Preview selected by the visitor. Limited hosting and security records may be generated to deliver and protect the public website. No new external account or journey-sync data is intentionally collected while those features are paused. Before either feature is reopened, the identified controller must publish the applicable purposes and lawful bases and complete the required accountability review.

3. Service providers and recipients

OpenAI Sites and Cloudflare provide public-site hosting. SettlePL translations are delivered from the site’s bundled language catalogue; selecting a SettlePL language does not send the visible page text to Google Translate. The visitor’s language preference is stored in their browser. Google Firebase and protected journey storage may continue to hold records from previous verified pilot accounts while deletion or lawful retention is handled. Access must remain limited to providers and authorised personnel who need it to secure the service or respond to a verified request. Data is not sold or shared with advertisers or data brokers.

4. No employer access to private journey data

Public employer and property demonstrations use fictional records. The separate, restricted employer pilot supports invited accounts, saved task progress, operational help categories and announcement read or acknowledgement status. An authorised employer can see only its own workspace’s permitted operational information, not an employee’s private task instructions, documents or personal circumstances. It cannot access a visitor’s device-only Move Preview. Restricted testing does not mean public registration, paid services or unrestricted use of real employee data is approved.

5. Payments and independent providers

Current pilot testing is free. No payment, card detail, booking, quote request, live referral or commercial onboarding is requested or accepted. Future commercial services will require an identified legal operator, separate terms and privacy information, and an appropriate hosted checkout before any payment is enabled. Independent professionals will provide their own terms and privacy notices; SettlePL will not receive documents intended for translation or legal advice.

6. Device storage, cookies and translation

Move Preview progress, interface preferences and the selected SettlePL language are stored on the current device until browser data is cleared or the reset control is used. SettlePL does not use behavioural-advertising cookies. SettlePL’s four language versions use a translation catalogue bundled with the website; choosing one of them does not send the visible page text to an external translation service. Translation selected independently through Safari or another browser is controlled by that browser provider. Official sources should still be checked before acting because circumstances and rules can change.

7. Retention and deletion

Resetting device progress removes the Move Preview data stored in that browser; it does not itself delete a previous Firebase account or synchronised journey record. Previous verified pilot account data may remain until a verified deletion request is completed or a legal obligation, dispute or security requirement requires limited retention. To request deletion of a previous account and synchronised journey data, email privacy@settlepl.com. Security and operational records must be kept only for the shortest documented period necessary for their purpose.

8. International transfers

Hosting and previous account providers may process limited technical or retained pilot-account data outside Poland or the EEA. External account access and synchronisation will remain paused until the identified controller documents provider locations and confirms an applicable transfer mechanism and any required supplementary safeguards.

9. Children

The current pilot is intended for adults aged 18 or over. A parent or legal guardian may use the device-only Move Preview to organise general household steps, but a child should not use the service or submit personal information. SettlePL does not intentionally request children’s identity documents, health information or immigration records.

10. Automated decisions and profiling

SettlePL does not make solely automated decisions that produce legal or similarly significant effects. Journey suggestions organise information from the answers a user selects; they are not an immigration decision, eligibility determination or substitute for professional advice.

11. Security and incidents

The pilot reduces risk by using a device-only Move Preview and avoiding identity-document, sensitive-record and payment-card collection. The public site uses encrypted transport and browser security restrictions. No internet service can guarantee absolute security. Report suspected misuse, a vulnerability or a personal-data incident to security@settlepl.com; never include a password, reset code or identity document.

12. Changes to this notice

Material changes will be dated on this page and, where appropriate, communicated to account holders before they take effect. Earlier wording will not be used to justify a materially different use of personal data without a valid lawful basis and appropriate notice.

Accessibility statement

SettlePL is designed for keyboard, touch and screen-reader use, with responsive layouts, labelled controls and readable colour contrast. If any content or control is difficult to use, contact support@settlepl.com and describe the page and assistance needed.

Your data-protection rights

Subject to the conditions and exemptions in applicable law, rights may include being informed, access, correction, erasure, restriction, portability, objection and protection from certain solely automated decisions. A request is normally answered within one month after identity and scope are reasonably verified; complex or multiple requests may lawfully take longer. SettlePL will not ask you to email a passport, password or reset code to exercise a right.

Send account-data or privacy requests to privacy@settlepl.com. If you are dissatisfied, you may complain to Poland’s President of the Personal Data Protection Office (UODO) or another competent supervisory authority. UK residents may also have rights through the ICO where UK data-protection law applies.

Information disclaimer

SettlePL provides general educational information derived from publicly available official sources. It does not provide legal, immigration, tax, medical, employment or financial advice; it does not create an adviser-client relationship; and it does not represent any government, embassy, consulate or public authority.

Information may be incomplete, become outdated or not apply to your circumstances. Government authorities make all decisions. Verify the linked official source and obtain advice from an appropriately regulated professional when needed. Do not rely on SettlePL alone when deciding whether to travel, submit an application, work, spend money or meet a deadline.

Terms of use

SettlePL is currently a pre-launch pilot. We are inviting employers, universities and professional partners to help test the platform. No payment is requested or accepted for current pilot participation. Participation does not create an adviser-client, immigration-representation, supplier or paid-service relationship. Public guidance and the device-only Move Preview are available. A separate restricted employer pilot supports authenticated employer and invited-employee workspaces, progress, Help and announcements for controlled testing. Public D2C cloud accounts and payments remain paused. Property, translator and professional/legal services are previews awaiting legal, commercial and provider approval. The legal controller must be confirmed before external commercial participation.

Use SettlePL only for lawful personal or authorised pilot-testing purposes. Do not submit false information, attempt unauthorised access, share or probe previous pilot accounts, scrape or reproduce restricted content, interfere with the service, or represent SettlePL content as legal advice. Do not submit passwords, reset codes, identity documents, immigration records, medical records or payment-card details. Progress scores and suggested actions are organisational tools—not proof of immigration status, eligibility, compliance or successful completion of a government process.

Future subscriptions, paid pilots, referrals, provider listings, tenancy services and other commercial services will require an identified legal operator and separate applicable terms, privacy information and, where relevant, a signed commercial agreement. Prices, plan limits and commercial structures displayed during the pre-launch pilot are indicative and are not currently available for purchase. No current pilot participant becomes a customer, supplier, partner, agent or representative by testing the website or sending feedback.

No provider shown in a demonstration is accepting an instruction or offer through SettlePL. A future listing or verification check will not by itself be an endorsement or guarantee. SettlePL does not provide legal or immigration advice and does not become part of an adviser-client or immigration-representation relationship. Any future independent provider will remain responsible for its own authority, terms, professional services, contracts, payments, complaints and outcomes.

Formal complaints about SettlePL can be sent to complaints@settlepl.com. Previous pilot account-data and deletion requests should be sent to privacy@settlepl.com. Do not include passwords, reset codes, identity documents or medical records. Nothing in these terms excludes liability where exclusion is prohibited by applicable law. Legal-controller details, governing law, consumer cancellation rights, payment and refund provisions, VAT treatment, service levels and partner contracts must be confirmed before external accounts or commercial transactions are enabled.

Cancellation, withdrawal and refunds

Before paid services become available

SettlePL will publish the identified seller, total price, billing period, contract duration, renewal arrangements, cancellation method, service start date, complaint route and applicable refund terms before a customer places an order. The checkout and purchase confirmation will provide the applicable terms in a form the customer can retain.

Consumer withdrawal rights

Where Polish or other applicable EU consumer law provides a statutory right to withdraw from a distance contract, the customer will receive the required information and withdrawal instructions before purchase. This will normally include a 14-day withdrawal period for an online service. Any lawful exception for digital content or a service started during that period will be used only after the customer gives the required express request or consent and acknowledges the legal consequence. SettlePL will not use a blanket “no refunds” statement to remove rights that cannot lawfully be excluded.

Subscriptions, digital access and business agreements

Future subscription terms will state how to stop renewal and when cancellation takes effect. Ending renewal will be kept separate from exercising a statutory withdrawal right, requesting a remedy for a faulty digital service or making a complaint. Journey Pass terms will explain the access period and what happens when access has already begun. Employer, university and partner contracts will use the cancellation, termination and refund provisions in the signed commercial agreement; consumer withdrawal rules may not apply to a business purchase.

Current contact and official guidance

Questions about the present pilot or a suspected charge can be sent to complaints@settlepl.com. Do not send card details, passwords or identity documents. See EU online-shopping rights ↗ and Polish consumer-rights guidance from UOKiK ↗.
