Employing foreign workers in Poland: connect compliance with practical settlement

Employers must confirm lawful work arrangements, but international employees also need clear support with accommodation, local administration, healthcare, communications and changing life circumstances.

Separate employer compliance from employee settlement

Work authorisation, contract duties and mandatory notifications belong to the employer's compliance process. PESEL, accommodation, healthcare, family and travel questions form the employee's wider settlement journey. Treating everything as one HR document request creates unnecessary risk and repeated questions.

  • Confirm work authority before work begins
  • Give employees a structured multilingual journey
  • Limit employer visibility to agreed status signals rather than collecting document copies

Measure the operational cost of repeated questions

HR teams often repeat the same explanations across sites, languages and shifts. A governed self-service journey can reduce routine demand while preserving an escalation route for individual legal or professional questions.

Useful outcomes include onboarding completed on time, questions resolved through maintained guidance, employer messages read and actions requiring attention.

Design privacy boundaries before scaling

Employers do not need broad access to a worker's private immigration documents to understand onboarding progress. Role-based access, worker-owned continuity and status-only reporting create a clearer boundary between support and surveillance.

Frequently asked questions

Does SettlePL replace an immigration lawyer or HR compliance adviser?

No. The current pilot provides public information and demonstrations only. A future employer product may add communications, progress visibility and professional-support routing, while employers remain responsible for compliance and regulated professionals provide individual legal analysis.

Can employers see employee passports or residence documents?

No employer access is live in this pilot. The proposed employer view is designed not to store immigration-document copies and would be limited to agreed progress and attention statuses.

Can recruitment agencies use SettlePL?

Recruitment agencies can test the current demonstration and provide non-binding feedback. A future employer platform and white-label model are being designed for employers, recruitment agencies and relocation providers supporting international workforces.
